What documents to check before taking delivery of a new car

Before driving a new car home, match its VIN and specification to the order and invoice, secure registration and insurance evidence, collect warranty and finance contracts, and verify any conformity or import documents required locally.

Before you accept a new car, make the vehicle, the transaction and the road-use paperwork agree. Read the VIN on the car and compare it with the order, final invoice and registration documents; obtain proof of purchase, registration or temporary-registration papers, active insurance, warranty terms and any finance or service-plan contracts; then ask for the owner’s manual, service information, keys and copies of signed handover records. Registration, tax, conformity and approval documents depend on the country and sometimes the state, so confirm the exact list with the local vehicle-registration authority before you drive away.

1. Match the car to every sale document

Read and record the VIN

Locate the vehicle identification number (VIN) on the car, usually at the base of the windscreen or on a manufacturer plate, and compare every character with the VIN printed on the sales order, final invoice, registration application and any finance agreement. Consumer guidance in Western Australia specifically recommends matching the vehicle VIN with the registration paperwork (Consumer Protection Western Australia). A mismatch can indicate a clerical error, an incorrectly allocated vehicle or a serious identity problem. Stop the handover until the dealer explains and corrects it in writing.

Check the description and specification

Verify the make, model, trim, body style, engine or motor specification, colour, model year where shown, registration number (if already assigned), and every paid option against your signed order. Check wheels, charging equipment, spare-wheel or tyre-repair kit, tow equipment, keys and accessories physically rather than relying only on a tick box. The final invoice should show the vehicle you actually received and the agreed price, taxes and any delivery charges.

Keep proof of the transaction

Obtain the final invoice or purchase receipt and retain it with the signed order. In EU registration guidance, an invoice can serve as proof of purchase and should clearly show the dealer’s VAT number when it is being used as proof of ownership (Your Europe). Ask for a copy of any deposit receipt, part-exchange valuation, discount, accessory order or correction that changed the original deal. If the dealer issues a revised invoice, keep the original and the replacement so the audit trail is clear.

Request signed handover records

Ask for copies of the delivery note, pre-delivery inspection (PDI) sheet, condition report and any defect or damage notation. The Motor Ombudsman lists handover, warranty and finance documents among the papers a buyer should review (Motor Ombudsman guidance). Read the form before signing, record every missing item or blemish, and write “subject to listed defects being rectified” where appropriate. Do not sign a statement that the car is undamaged or complete if you have not inspected it.

2. Confirm registration, insurance and lawful road use

Registration certificate or temporary documents

Find out whether the dealer has completed registration, submitted it electronically or left it for you to complete. Obtain the registration certificate if it is available, or the legally valid temporary-registration documents and a written explanation of when permanent papers will arrive. Ask who is responsible for correcting an application rejected by the authority and what evidence you should carry while waiting.

In the United Kingdom, the V5C is the registration certificate and records the registration number, keeper details, make and VIN (GOV.UK: Vehicle registration—new registrations). A new vehicle’s paperwork and timing depend on the dealer’s registration process, so do not assume that a V5C will be handed to you on delivery.

Insurance active before the first trip

Obtain proof that the policy covers this exact VIN or registration number, begins at the time you take possession and includes the intended drivers and use. GOV.UK states, “You must have insurance before you can use your vehicle on the road” (GOV.UK: Buy a vehicle). Western Australia consumer guidance likewise advises arranging insurance before driving the car home (Consumer Protection Western Australia). A dealer’s demonstration or stock policy is not a substitute for your own legally effective cover.

Tax, plates and other road-use conditions

Confirm that required vehicle tax, road-use charges, number plates, inspection certificates or emissions approvals have been completed. UK guidance requires a vehicle to be taxed before it is used on the road (GOV.UK: Buy a vehicle); other countries use different systems. Ask for the receipt, reference number or confirmation screen that proves completion, and check the effective date rather than assuming the dealer’s promise is enough.

Certificate of conformity and approval paperwork

Ask whether your registration authority requires a certificate of conformity (CoC), vehicle approval certificate, import declaration or roadworthiness document. These are especially important for an imported car or a vehicle being registered across borders. For England, Scotland and Wales, Driver and Vehicle Standards Agency and Department for Transport guidance says a CoC must be supplied free with a new vehicle at delivery and explains that it contains technical information used for registration, including in a non-EU country such as the UK (Certificate of conformity for new vehicles, published 22 March 2022). That rule is specific to those jurisdictions and should not be treated as universal.

3. Collect warranty, finance and service documents

Manufacturer and component warranties

Take the complete written manufacturer warranty, not just a brochure. Check the coverage start date, duration, mileage or usage limits, covered components, exclusions, maintenance conditions, roadside-assistance terms and the claims contact. A battery, paint finish, corrosion protection, tyres, accessories or other feature may have a separate warranty; Consumer Protection Western Australia notes that vehicle features can carry separate warranties (Consumer Protection Western Australia). Keep each certificate and identify which company is responsible for a claim.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Finance, lease and optional cover

If you financed or leased the car, obtain the fully signed agreement, payment schedule, interest or rental details, early-settlement terms, ownership position and contact for complaints. Collect the written schedule for a service plan, prepaid maintenance, roadside assistance, tyre cover or other add-on. The contract should identify the provider and vehicle, the term, total cost, exclusions, cancellation rights and claim procedure. An oral promise made during negotiation is difficult to enforce if it is absent from the signed paperwork.

Service records and digital accounts

Ask when the first service is due, how the interval is calculated, and whether the vehicle’s service and warranty records are digital. Obtain the owner’s manual, maintenance schedule, emergency instructions and any printed service book. Have the dealer show you how to activate the manufacturer account, transfer connected-services ownership and access digital records; procedures differ by make and market. Record the date and mileage at handover so the first maintenance interval is unambiguous.

4. Use a country-specific document check

There is no single international handover pack. Your Europe says EU countries do not share one vehicle-registration law; common categories include proof of ownership, VAT payment, insurance, registration, roadworthiness and conformity documents, but each country sets its own procedure (Your Europe). Use the examples below as prompts, then verify the current requirements with your authority.

Situation Documents or checks described by the relevant authority Qualification
England, Scotland and Wales: new vehicle Free certificate of conformity at delivery; registration evidence; insurance and road tax before road use. CoC requirement comes from DVSA/Department for Transport guidance for these jurisdictions. V5C timing depends on the registration process.
EU registration in another member country Proof of purchase or ownership, VAT evidence where relevant, insurance, registration, roadworthiness and conformity documents. Your Europe describes common practice, not an EU-wide registration law. National rules control.
Haryana, India: new motor vehicle Published list includes Forms 20, 21 and 22, insurance, identity and residence evidence and an invoice; extra papers apply in some hire-purchase or imported-vehicle cases. Check the current state and national requirements before relying on the list (Haryana Transport Department, updated 25 May 2026).
Imported or cross-border vehicle anywhere Ask about CoC or approval, import and customs evidence, tax or duty proof, roadworthiness and temporary registration. The required combination depends on the destination authority and the vehicle’s origin.

5. Compare optional plans on paper

When the dealer offers an extended warranty, service plan or add-on cover, compare the written terms rather than the sales description. Use this checklist for each plan:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Item to compare What to verify
Coverage Components, labour, diagnostics, towing and consequential damage; identify what is expressly excluded.
Duration Calendar end date and mileage or usage limit; note whether cover starts at delivery or after the manufacturer warranty.
Maintenance conditions Required service intervals, approved parts, record-keeping and whether missed maintenance can void a claim.
Claims Provider, authorisation process, repair-network restrictions, excess or deductible and emergency contact.
Cost and cancellation Total price, tax treatment, financing of the premium and any cooling-off, transfer or refund rules.

Do not treat a plan as included merely because it appears in an advertisement or quotation. The signed schedule is the document that defines what you bought.

6. Follow this handover sequence

  1. Prepare before arrival. Bring the signed order, finance approval, insurance confirmation and a way to photograph documents and the car. Arrange an appointment long enough to inspect the vehicle without being rushed.
  2. Inspect the identity. Read the VIN from the vehicle and compare it character-for-character with the order, invoice, registration application and finance papers. Check the odometer, registration number and specification.
  3. Inspect condition and equipment. In good light, walk around every panel, glass area, wheel and interior surface. Test lights, warning indicators, doors, windows, climate controls, infotainment, charging or fuel equipment and both keys. Record discrepancies on the PDI or delivery note and photograph them.
  4. Review the sale file. Check the final price, taxes, options, trade-in credit and payment status. Take copies of the signed order, invoice, delivery note, inspection record and any correction.
  5. Review legal road-use papers. Confirm registration or temporary authority, plates, insurance effective time, tax and any inspection or approval requirement. Obtain the CoC or an explanation of why it is not applicable.
  6. Review continuing-care contracts. Read the warranty, battery or accessory certificates, finance or lease agreement, service plan and roadside-assistance schedule. Confirm contacts and activation steps.
  7. Ask operational questions. Get the manual, service schedule, emergency information and instructions for digital records. Confirm the first service date and what to do if a warning light appears.
  8. Sign only an accurate record. Ensure every promised correction and missing item is written down with an owner and target date. Keep a complete copy before leaving.
  9. Drive only when authorised. Leave after insurance and all locally required registration, tax and temporary-road-use conditions are active. If a required document is missing, arrange lawful transport or wait for confirmation rather than assuming the dealer’s cover applies.

7. Problems to stop and fix before departure

VIN or model does not match

Do not accept a verbal assurance. Ask the dealer to investigate the source record, correct every affected document and provide a written explanation. If the mismatch cannot be resolved immediately, postpone acceptance and notify the finance provider or registration authority if their records are involved.

Registration is pending

Request the temporary certificate, plate authority or other document that legally permits the specific journey, plus the submission reference and expected permanent-document date. Verify the information with the registration authority when the dealer cannot show evidence of submission.

Insurance starts later

Change the policy start time or arrange valid cover before moving the car. A policy quote, dealer promise or payment receipt is not proof that coverage is already in force.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Damage or missing equipment is discovered

Photograph the issue with the VIN or registration visible where practical, describe its location and condition on the handover record, and obtain a signed repair commitment. Keep the vehicle and paperwork copies until the correction is completed.

Warranty or finance papers are incomplete

Ask for the missing schedule and do not rely on a salesperson’s summary of exclusions, price or duration. Contact the named provider or lender directly if the document you receive does not identify who is responsible.

8. Organise the file after delivery

Keep one secure paper folder and a backed-up digital scan. Separate documents that prove ownership and registration from contracts that govern finance, warranty and service. Save photographs of the VIN, odometer, delivery condition and signed forms with the delivery date. Note the first service deadline, warranty expiry or mileage limit, insurance renewal and any temporary-registration expiry in your calendar. If permanent registration papers or a promised repair do not arrive by the written date, contact the dealer promptly and then the relevant authority or provider using the reference numbers on your copies.

The safest handover is not the one with the most brochures; it is the one where the physical car, the signed transaction, the legal road-use evidence and every paid promise describe the same vehicle and are available to you before the first journey.
