Email (or another written channel) gives you a record and limits wasted showroom time. The visit lets you confirm that the specific vehicle exists, inspect it, and check the buyer’s order against the quote before signing.
This approach follows practical guidance from the Federal Trade Commission (FTC) and the North Carolina Department of Justice (NC DOJ). It is not a guarantee that every dealer will negotiate remotely or that an emailed figure is legally binding. Taxes, registration, inventory, trade-ins, financing, and state rules can change the final transaction.

Email and in-person shopping are complementary, not competing choices
An in-person-first strategy can consume hours before you know the real total. A remote-first strategy can produce a persuasive number for a car that has sold, carries conditions you did not notice, or is not the configuration you wanted. Combining the two channels addresses each weakness.

A phone call can start the process, but ask the salesperson to send the actual price and conditions in writing. A verbal promise alone is difficult to compare or challenge later.

How to request a genuinely comparable quote
- Specify one exact configuration. State the make, model, model year, trim, drivetrain, engine, body style, factory options, color requirements, and any packages. If you are flexible, say which features may vary. Different trims or accessory packages are not comparable even when the model name is the same.
- Identify the vehicle when possible. Ask for stock number, VIN, mileage, color, equipment, and the dealer’s confirmation that it is physically available for sale. The FTC advises confirming that the car is on the lot before you travel. A dealer may have a vehicle in transit, sold but not delivered, or listed online after another buyer has reserved it.
- Request the out-the-door total in writing. Use the phrase “out-the-door price before financing” and ask for an itemized buyer-facing worksheet. The FTC describes this total as the price before financing, including taxes and fees. Tell the dealer not to replace the total with a monthly payment.
- Ask for every required and optional charge. Require separate lines for vehicle price, dealer-installed or dealer-required add-ons, documentation or other dealer fees, taxes, title, registration, and other government charges that apply in your jurisdiction. Ask whether any item is optional, removable, refundable, or conditional on financing, a trade-in, membership, or a particular rebate.
- Set a response standard. Ask the salesperson to state the quote’s expiration, deposit requirements, whether the vehicle can be sold before your appointment, and which rebates are included. A quote with no conditions is easier to compare than a headline discount that depends on eligibility you do not have.
- Save the complete exchange. Keep the email thread, attachments, worksheets, and the date and time of any call. If the salesperson changes a figure by phone, request a corrected written quote.
What an out-the-door quote should show
There is no single national worksheet format, and state taxes and fees differ. The useful test is whether another shopper could reconstruct the total without guessing what a line means.

If a salesperson sends only a sale price, “plus tax and fees,” you do not yet have an out-the-door quote. Ask for the missing figures or mark that offer incomplete rather than treating it as the cheapest.
Compare offers on an apples-to-apples basis
Match the vehicle
Put the VIN or stock number beside each offer when available. Check trim, drivetrain, packages, accessories, color, mileage, and whether the vehicle is new, a demonstrator, or already titled. A lower quote for a less-equipped or unavailable car is not a lower price for your target vehicle.
Normalize incentives
Separate unconditional discounts from rebates that require a trade-in, dealer financing, military or student eligibility, loyalty status, or another condition. Ask each dealer to show a price with only incentives you definitely qualify for. Keep a second line for conditional savings so you can see their value without mistaking them for a guaranteed total.

Investigate unexplained lines
Ask for a plain-language explanation of every fee and add-on. Do not accept “everyone pays it” as an explanation of whether an item is required, optional, or already included elsewhere. Written itemization helps expose duplicate charges and makes competing offers easier to compare, which is why the FTC recommends obtaining details before a visit.
Use one comparison sheet
Record the dealer, date, vehicle identifier, selling price, each fee, each incentive and condition, taxes, title and registration, add-ons, estimated total, quote expiration, and salesperson contact. Mark estimates separately from fixed figures. This prevents a low advertised price from winning simply because its missing charges were never entered.
Keep the vehicle price, financing, and trade-in separate
Negotiate the new-car price first. Then evaluate financing and the trade-in as separate transactions.

Financing
The out-the-door quote is a cash price before financing; it is not the amount you will repay on a loan. If useful, obtain a preapproval and record its annual percentage rate, term, amount financed, fees, and expiration. Ask the dealer for the same information. Compare APR and total of payments, not just the monthly payment. A longer term can lower the monthly figure while increasing total interest.

Trade-in
Tell the dealer you will discuss a trade after the new-car price is established. Obtain outside purchase or valuation information if you want a comparison point. A dealer can make a trade allowance look generous while raising the new-car price, or make a discount appear larger by combining figures. Keeping the negotiations separate makes the actual vehicle price visible.
Deposits and conditions
Before sending a deposit, ask whether it is refundable, how long the quoted price is held, and what happens if the vehicle is sold or fails an inspection. Get those terms in writing and review any state-specific requirements.
What to do at the dealership
- Confirm identity and availability. Match the VIN, stock number, trim, equipment, mileage, and color to the remote quote. Inspect for damage, missing equipment, or signs that the vehicle is not the one described.
- Bring the complete written offer. Show the itemized quote, including conditions and expiration. Ask the salesperson to update it if a legitimate tax or registration amount has changed.
- Review the buyer’s order before signing. Compare every line with the quote. Check selling price, add-ons, dealer fees, incentives, taxes, title, registration, deposit credit, trade allowance, amount financed, and total due.
- Decline unwanted products clearly. If an add-on was not in your requested deal, ask for its removal and a revised total. Do not sign blank forms or documents with unexplained amounts.
- Verify financing documents separately. Confirm APR, term, amount financed, payment count, prepayment terms, and any optional products. The loan contract controls the financing, not an earlier monthly-payment discussion.
- Stop if the deal changes materially. You are not required to accept a higher price because you traveled. Ask for time to review, retrieve your documents, and leave if the dealer will not honor the written terms or the vehicle is unavailable.
The FTC’s consumer guidance specifically recommends contacting the dealer before visiting and walking away when a promised price or vehicle is not available. Preserve messages and paperwork if you believe advertising or pricing was deceptive; you can report suspected deceptive conduct to the FTC and consult your state consumer-protection agency.

In automobile-industry FAQs published by the FTC in September 2026, the agency says a prominent advertised price generally must be the actual price any consumer can pay, apart from government-required charges. Dealer-required fees must be included, and advertising an unavailable vehicle to attract customers is deceptive. This is advertising-compliance guidance, not a calculation of your state’s tax, registration, document fee, or transaction total.

The FTC’s separate consumer advice still tells shoppers to obtain the out-the-door amount in writing before traveling because an advertisement may omit charges. Read the two statements together: an advertised price has federal transparency requirements, while your written quote must still identify the particular vehicle and the charges that apply to your transaction. State rules can add requirements, so verify current local law rather than assuming the federal guidance answers every fee question.
FTC Bureau of Consumer Protection Director Christopher Mufarrige summarized the agency’s position in the September 2026 release: “The FTC Act requires truthful and accurate pricing, which brings significant benefits for consumers and competition.” That principle supports demanding a clear total, but it does not make every email quote a guaranteed contract.

The dealer sends only a monthly payment
Reply that you are comparing vehicle prices and need the itemized out-the-door total before financing. Provide your preferred term only after the vehicle price is established.

The quote depends on an incentive you may not qualify for
Ask for two totals: one using only incentives you qualify for and one showing conditional savings with the eligibility requirement written beside it.

The car is suddenly unavailable
Do not drive to the dealership based on the old offer. Ask whether another vehicle has the same configuration and request a new VIN-specific quote. If the dealer advertised an unavailable vehicle to lure you in, preserve the listing and messages and consider reporting it.
New fees appear at signing
Pause the transaction. Request an explanation and a revised buyer’s order. Compare each new line with the quote and applicable government charges. If the dealer will not reconcile the difference, leave.
The salesperson refuses to put the price in writing
You can try another contact or dealer. A written record is not a promise that the price cannot change, but refusing to itemize prevents a reliable comparison and increases the risk of surprises.

Ask for a refreshed quote tied to the same VIN or configuration. Recheck incentives, inventory, taxes, and any stated expiration before traveling.
A concise email template
Use a message that makes the requested comparison unambiguous:
Please send your best written out-the-door price, before financing, for the following vehicle: [year, make, model, trim, drivetrain, options]. Please identify the VIN or stock number and confirm it is currently available. Itemize selling price, dealer-required fees, optional add-ons, discounts and rebate conditions, sales tax, title, registration, and any other government charges. State the quote expiration, deposit terms, and whether any amount depends on dealer financing, a trade-in, or eligibility I must document.Replace the bracketed vehicle description with the exact configuration you want. Save the response and any attachments with the date.
Bottom line
Start remotely, insist on a written out-the-door breakdown, compare matching vehicles and conditions, and keep financing and trade-in negotiations separate. Then visit the leading dealer to verify the actual car and reconcile the buyer’s order with the quote. If the vehicle or price changes and the dealer will not correct the paperwork, walk away rather than allowing the trip to pressure you into a different deal.
