New Car Delivery Checklist: What to Inspect Before Accepting Your Vehicle

Use this step-by-step new car delivery checklist to verify the vehicle, inspect its condition, test equipment, and record problems before signing.

By CarCody Team

Before you accept a new car, verify that the vehicle delivered is the vehicle you ordered, inspect its condition and equipment, operate the important functions, and record any defect before signing. Check the VIN, specification, build or compliance date where relevant, bodywork, interior, lights, accessories and contract features; take a supervised drive if possible. Your right to delay, refuse or unwind the transaction depends on the purchase contract and the law where you buy.

Prepare before you arrive

A delivery appointment is easier to manage when you treat it as an inspection, not a ceremonial handover. Bring the signed order, specification sheet, finance or purchase paperwork, and any written promises about accessories or repairs. Keep the documents available on your phone as well as on paper if possible. A phone camera is useful for documenting condition. An LED inspection flashlight can help reveal marks in a poorly lit delivery bay, but it is optional; a phone light may be sufficient.

Ask the dealer how much time is reserved for handover and request that the car be available in daylight or a well-lit area. Artificial lighting can hide shallow dents and paint chips. If the vehicle is wet, dirty, or tightly parked against other cars, ask whether it can be moved and dried enough for a fair inspection. You should be able to examine the car before signing an acceptance or delivery form.

Consumer Affairs Victoria states that “New car dealers should examine the car before you collect it and demonstrate its features to you at the time of delivery.” That expectation does not remove your need to check the vehicle yourself, but it is a useful standard for a proper handover.

Verify the vehicle identity and paperwork

Match the VIN

Start with the vehicle identification number (VIN). Compare the VIN displayed on the vehicle with the VIN on your order, vehicle documents, or certificate of origin. The U.S. General Services Administration tells its buyers to make this comparison before accepting delivery. A mismatch is not a cosmetic issue: it can mean that the wrong vehicle, a different production unit, or incorrect paperwork has been presented.

Record the VIN you checked and ask the representative to explain any discrepancy before you sign. Do not assume a typographical error is harmless until the documents have been corrected and you have a copy of the correction.

Confirm make, model, trim and configuration

Read the order against the car in front of you. Confirm the model, body style, drivetrain or other configuration named in the contract, and the exterior and interior specification you paid for. Check that the color and trim match the written agreement rather than relying on a verbal description.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check build and compliance dates where they apply

Queensland Government guidance advises buyers to check build and compliance dates before taking the vehicle and signing. These dates can be relevant to registration, warranty administration, resale descriptions, or a buyer’s expectations about how recently the vehicle was produced. Ask the dealer to identify where each date appears and make sure the paperwork corresponds to the vehicle being delivered. A date that needs clarification is a reason to pause and ask questions, not proof by itself that the car must be rejected.

Use the contract as the source of truth

Compare every listed option, accessory and specified feature with the delivered car. Include items that may be easy to overlook, such as factory-fitted equipment or accessories promised in a separate schedule. The GSA’s delivery guidance specifically tells buyers to ensure ordered options are included. If an item is missing, have the dealer state in writing whether it will be supplied later, when, and at whose cost. Keep the amended document with your purchase records.

Document or detail How to check it What to do if it differs
VIN Read the vehicle VIN and compare it with the order and vehicle documents. Stop the handover until the discrepancy is explained and corrected in writing.
Model, trim and color Compare the physical vehicle with the signed specification. Ask the dealer to identify the contractual remedy before accepting.
Build or compliance date Locate the date in the applicable vehicle paperwork. Request clarification and retain the written response.
Options and accessories Use the order, option codes and accessory schedule as a checklist. Have missing equipment and the agreed remedy recorded.

Inspect the exterior in good light

Walk around every panel

Make a slow, complete circuit of the car. Look at the paint and bodywork from several angles for dents, chips, scratches and other visible damage. Consumer Affairs Victoria specifically lists dents, paint chips and damage to the vehicle’s surfaces among pre-delivery checks; Queensland guidance also calls out dents and paint chips.

Inspect one section at a time rather than scanning the whole car and assuming it is fine. Check the front, rear, each side, the roof where visible, and the edges around doors and other openings. Use a flashlight only as an aid in dark areas; do not let it replace daylight or a proper change of viewing angle.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate delivery damage from an agreed repair

If a mark is present, ask whether it was identified before delivery and whether a repair was promised. Photograph the location and make sure the paperwork describes the actual condition, not merely “to be repaired.” A written description should identify the panel or area and the agreed next step. Do not rely on a verbal assurance that a later repair will be handled.

Do not allow haste, rain, darkness or a crowded delivery bay to turn an unseen defect into an argument about when it occurred. If the vehicle cannot be inspected properly, ask the dealer to move the handover to a suitable place or delay signing while the condition is documented.

Check the interior and visible surfaces

Seats and trim

Open each door and examine the seats, trim and visible interior surfaces for cuts, scratches, tears or other damage. Consumer Affairs Victoria names cuts and scratches in interior trim as items to check. Look at the areas that are easy to miss when a protective film or delivery covering is removed, and ask the representative to remove coverings that prevent inspection.

Confirm the cabin matches the ordered specification

Check that the interior color, seat material and visible equipment correspond to the order. If a feature is demonstrated, operate it yourself rather than accepting a verbal explanation. Make a note of anything that cannot be demonstrated because the vehicle is not powered, a key is missing, or an accessory has not yet been installed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operate lights, indicators and specified features

Test safety-related functions

With the representative present, switch on the lights and operate the indicators. Consumer Affairs Victoria includes lights and indicators in its pre-delivery checks. Confirm that the controls respond as expected and ask the representative to explain any warning message or behavior you do not understand.

Work through the features you ordered

Use the contract and the dealer’s demonstration as a practical test list. Operate the features that matter to your order and confirm that ordered accessories are physically present. This may include equipment the dealer specifically agreed to supply, not merely the standard equipment shown in a brochure.

Ask for a demonstration of unfamiliar controls and record any feature that cannot be tested at handover. A missing accessory is different from a feature that is present but not yet configured; the remedy and timing should be written down in either case.

Do not treat a demonstration as a substitute for inspection

A dealer demonstration can show how a function is intended to work, but it does not prove that every part of the vehicle is free from damage or mechanical fault. Keep the physical inspection, document comparison and function tests as separate steps so that one does not obscure another.

Take a supervised test drive when possible

A walk-around cannot reveal every mechanical problem. Consumer Affairs Victoria suggests taking a test drive with the sales representative to check for mechanical faults. Ask whether the car can be driven before the final acceptance is completed and follow the dealer’s safety and insurance requirements.

During the drive, pay attention to unusual noises, warning messages, vibration, steering behavior, braking response and any issue that differs from the representative’s explanation. You are not conducting a laboratory test; you are checking for an obvious problem that warrants investigation. If a fault appears, return to the dealership and ask for it to be diagnosed and recorded.

If a test drive is not possible because of site rules, transport arrangements or another stated limitation, ask the dealer to explain how the vehicle was inspected and request that the inability to drive it be noted. A later professional inspection can be useful when a concern remains. New Zealand Consumer Protection warns that simple checks are not a substitute for professional inspection, and consumer.gov includes a trusted mechanic among general car-buying guidance. Neither source establishes that every new-car buyer must pay for an inspection, so treat it as a risk-based option rather than an automatic requirement.

Document every problem before signing

Photograph visible defects

Take clear photographs of each dent, chip, scratch, interior mark or missing item. Include a wider image showing where the defect is located and a closer image showing its detail. Keep the original files and note the date of delivery. Photos support the written record; they do not replace it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Put the condition on the delivery paperwork

Ask the dealer to list every visible issue on the delivery form, receipt, or other handover document before you sign. The GSA says damage should be noted on the delivery receipt or bill of lading at delivery. That is fleet guidance, so a private buyer should ask the dealer to use the dealership’s own paperwork and provide a copy.

On top of that, every unit undergoes rigorous pre-shipping testing to secure customers receive satisfactory products.

Use precise wording: identify the panel or interior area, describe the defect, and state the agreed action and timing if one has been offered. Avoid signing a form that says the vehicle was accepted “in good condition” when the form does not also record the defects you identified. If the dealer refuses to record an issue, write a factual note on the document if permitted, keep a copy, and contact the dealer promptly in writing.

Keep your evidence together

Save the signed order, photographs, delivery form, messages and any repair commitment in one folder. Note the names of the people present and the time the issue was reported. A contemporaneous record is more useful than relying on memory after the car leaves the premises.

What to do when the car or paperwork is not right

Ask for a pause, not a rushed decision

If the VIN, specification, date, condition or equipment does not match what you agreed, ask the dealer to pause completion while the issue is clarified. Request a written explanation and a proposed remedy. The appropriate outcome could involve correction of paperwork, installation of missing equipment, a documented repair, or another contractual solution; the facts and local law determine which response is available.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not assume every defect creates an automatic right to reject

The practical inspection advice from Victoria, Queensland, New Zealand and U.S. government fleet guidance is consistent, but those sources do not establish one universal consumer right to refuse or exchange a vehicle after finding a defect. Whether you can delay signing, reject the car, require repair, or pursue another remedy depends on the purchase contract and the law where the transaction takes place.

Before making a legal demand, check the relevant consumer agency or obtain local legal advice. The jurisdiction-specific guidance from Consumer Affairs Victoria, Queensland Government, and New Zealand Consumer Protection can help you identify the rules relevant to those locations. U.S. fleet delivery instructions from the General Services Administration are useful for documentation practice but are not a universal private-consumer law.

A practical handover sequence

  1. Bring the order, contract and specification documents, and arrange enough time and light for an inspection.
  2. Compare the VIN on the vehicle with the order and vehicle documents.
  3. Confirm model, trim, color, options, accessories and any relevant build or compliance date.
  4. Inspect the exterior for dents, chips, scratches and other visible damage.
  5. Inspect seats, trim and other visible interior surfaces for cuts or scratches.
  6. Operate the lights, indicators and ordered features, and ask for demonstrations of unfamiliar controls.
  7. Take a supervised test drive when possible and report any mechanical concern immediately.
  8. Photograph defects and have each one written on the delivery paperwork.
  9. Read the completed form before signing, obtain a copy, and preserve all related records.

Questions worth asking the representative

  • Can you show me where the VIN and build or compliance date appear in the documents?
  • Can we compare the option and accessory list with the equipment installed on this vehicle?
  • Can you demonstrate the lights, indicators and features included in my order?
  • May I inspect the vehicle in daylight or move it to a better-lit area?
  • Can we take a short supervised drive before acceptance?
  • Will you record this defect, missing item or promised repair on the delivery paperwork?
  • When will I receive a copy of the signed handover record?

The goal is not to make a new-car handover adversarial. It is to ensure that the identity, specification, condition and written record all agree before responsibility for the vehicle changes hands.
