How to Schedule Shared EV Chargers for an Electric Truck Fleet

Learn how to schedule shared EV chargers so electric trucks meet route requirements without exceeding site capacity or avoidable demand charges.

Schedule a shared truck-charging site as a constrained, departure-aware allocation problem—not as a first-come, first-served queue. For each truck, capture its arrival time, planned departure, battery state of charge (SoC), energy required for the next route, connector compatibility and available dwell time. Then enforce one site-wide power ceiling that accounts for the electrical service, transformer, panels, building load and utility rules. Allocate that limited power to the trucks with the most urgent departures and the largest operational energy shortfalls, while moving flexible charging to lower-cost or lower-load periods.

The objective is simple: every truck leaves with its required route energy and reserve, without exceeding the facility’s safe electrical limit or creating avoidable energy and demand charges. The schedule must recalculate whenever a truck, route, charger or utility condition changes.

Why shared charging needs a fleet schedule

Electric trucks often arrive at a depot within the same time window and leave in waves. If every truck starts charging at its maximum rate immediately, the combined load can exceed the site’s service capacity, transformer or distribution panels. Medium- and heavy-duty depot charging can therefore trigger expensive demand charges, require a service upgrade or create a slower, unsafe installation process. The National Renewable Energy Laboratory identifies smart-charge control as a fundamental way to mitigate peak demand and defer grid upgrades.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Truck charging is also less forgiving than passenger-car charging. A missed departure can disrupt a route, driver assignment or delivery window. A practical schedule must protect the next deployment first, then optimize cost and grid impact with the remaining flexibility.

“Managed charging refers to the strategic control of when and how vehicles are charged without compromising the fleets’ operational needs.” — U.S. Department of Energy, Federal Energy Management Program, Managed EV Charging for Federal Fleets

Managed charging can be manual, with a dispatcher assigning static start and stop times, or networked, with software changing power and schedules as vehicle operations, rates, building load and equipment availability change. A fleet with variable routes and high-power chargers generally needs the networked approach, even if a manual fallback remains available.

Define the readiness rule before assigning power

A charger scheduler needs a clear definition of “ready.” For each truck, calculate the energy required before its next deployment, convert that requirement into a target SoC, and attach a deadline. The deadline is normally the planned departure time, but an earlier completion target may be appropriate when dispatch checks, cab heating or loading activities occur before departure.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Required inputs for each truck

  • Arrival time: when the truck can physically connect and accept power.
  • Planned departure: the latest time the truck must be released for its route.
  • Current SoC: use the vehicle’s reported value and flag stale or implausible readings.
  • Next-route energy: estimate traction, auxiliary, payload, terrain and weather needs from the fleet’s operating data.
  • Reserve: add a policy reserve for route uncertainty. Include cold-weather or payload effects when the fleet’s data supports those adjustments.
  • Usable battery capacity: account for the vehicle’s charge limits rather than treating the nameplate battery size as fully available.
  • Connector and charging limits: identify compatible ports, maximum vehicle acceptance rate and any thermal derating.
  • Dwell window: record the earliest possible unplug time and any activities that make the truck unavailable.
  • Operational importance: mark a route as critical when a missed departure has disproportionate consequences.

The readiness target can be expressed as energy rather than only a percentage:

Required energy = next-route energy + reserve − usable energy already available.

Clamp the result at zero; a truck that already has enough usable energy should not displace a truck that cannot meet its route requirement. Keep the reserve policy documented so dispatchers and drivers understand why a target is higher than the route’s nominal consumption.

Inventory every physical and commercial constraint

Before creating schedules, build a site inventory. The scheduler can only enforce limits that are measured or configured correctly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Charger maximum output per port and for the entire unit.
  • Number of ports and whether power is shared dynamically between them.
  • Vehicle connector compatibility, voltage and current limits.
  • Battery capacity and maximum vehicle-accepted power.
  • Arrival, departure and dwell windows.
  • Electrical-service rating, transformer capacity, feeder and panel limits.
  • Baseline building load, including seasonal or shift-related changes.
  • Utility time-of-use periods and demand-charge rules.
  • Solar generation and battery-storage availability, if installed.
  • Utility managed-charging or demand-response event requirements.
  • Communications status, offline behavior and manual controls.

Do not assume that a charger’s advertised output is available to every connected truck. Vehicle acceptance, cable limits, temperature and the charger’s internal power-sharing design can all reduce actual delivery.

Set one aggregate site power ceiling

The hard electrical constraint is the combined EV load, not an independent limit on each port. Set a ceiling below the safe available site capacity after subtracting the building’s expected load and an engineering margin.

EV charging ceiling = permitted site capacity − concurrent building load − engineering margin.

The permitted site capacity should reflect the limits established by the electrical design and utility agreement. The building-load term should be dynamic when practical; a fixed conservative value can waste capacity during quiet periods, while an optimistic value can trip protection when HVAC, refrigeration or production equipment starts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A controller should divide the ceiling among active sessions and reduce individual session power as the site approaches the limit. Configure both a normal operating ceiling and a lower emergency ceiling if the facility has a known contingency state. The ceiling must apply across all chargers managed by the site, including equipment from different physical locations when they share the same service.

Illustrative allocation

Suppose a site has a configured EV ceiling of 600 kW and three trucks are connected. The controller may assign 300 kW to a truck leaving soon, 200 kW to a truck with a large energy shortfall, and 100 kW to a flexible truck. If the building load rises and the available EV ceiling falls to 450 kW, the controller should reduce or pause the flexible session first rather than allowing the aggregate EV load to exceed the new limit. These values are an illustration of the control logic, not a recommended design size.

Have an electrical engineer validate the ceiling, margins, protection settings and interconnection requirements. A software limit does not replace correctly sized conductors, switchgear, transformers or emergency procedures.

Prioritize trucks by urgency and energy need

When available power is insufficient for every truck to charge at full rate, use a transparent priority score. A useful score combines four inputs:

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Departure urgency: how little time remains before the required departure.
  2. Energy shortfall: how much additional energy is needed to meet the readiness target.
  3. Dwell time remaining: a truck with a short remaining window may need power now even if its departure is not the earliest.
  4. Route importance: a critical route can outrank a flexible or spare assignment.

The Department of Energy describes prioritizing a vehicle with a lower SoC or shorter dwell period as a smart-charge-management function. Your policy can weight those factors differently, but it should be deterministic enough that dispatchers can explain an allocation.

Suggested decision sequence

  1. Protect trucks whose remaining dwell cannot accommodate their required energy at the available power.
  2. Among those at risk, serve the earliest required departures.
  3. Break ties using the largest energy shortfall, then the shortest dwell time.
  4. Reserve some capacity for critical routes or a truck whose route energy is unusually high.
  5. Use remaining capacity for trucks with later departures and flexible energy needs.

Recalculate estimated completion time after every allocation change. A truck that is currently low priority can become urgent after a late arrival, route reassignment or charger failure.

Choose the right level of charging control

Approach How it works Strengths Limitations
Manual or user-planned schedule A dispatcher assigns start, stop and priority instructions using a static plan. Low complexity; works when routes, tariffs and building load are predictable; easy to operate during a communications outage. Slow to react to late arrivals, early departures, changing SoC, charger faults or a changing site load; difficult to enforce a dynamic aggregate ceiling.
Networked smart charge management A controller receives vehicle, charger, meter and utility signals and changes power, limits and schedules. Can enforce a site ceiling, shift flexible energy, respond to demand events and re-optimize as conditions change. Requires compatible equipment, communications, configuration and operational procedures; a fallback mode is still necessary.
Fleet-management integration Smart charging is connected to telematics, route plans and dispatch software in addition to chargers and meters. Best readiness decisions because the system knows assignments, departure changes and route energy needs. More integration work, data governance, cybersecurity controls and lifecycle cost.

Compare options on readiness reliability, response to late arrivals and route changes, enforcement of the site ceiling, tariff and demand-charge optimization, telematics and building-meter integration, driver override, offline behavior, cybersecurity support and total installed and operating cost.

Implement the schedule step by step

  1. Define operating policies. Write the target SoC or energy for each route type, reserve policy, critical-route rules, minimum emergency SoC and who may authorize an override.
  2. Collect live data. Connect vehicle SoC and location data where available; otherwise provide a dispatcher entry screen with validation and a timestamp. Import planned departures and route assignments.
  3. Map equipment. Record each charger, port, connector, voltage, maximum current, vehicle compatibility and shared-power behavior. Mark which ports can be used simultaneously.
  4. Configure the electrical model. Enter the site service limit, transformer and panel constraints, building-load feed, engineering margin and any lower emergency ceiling.
  5. Configure tariff and grid signals. Enter time-of-use windows, demand-charge periods and approved utility event signals. Treat savings as conditional on local tariff and program rules.
  6. Build the allocation logic. Rank departure urgency, energy shortfall, dwell time and route importance. Set per-port limits and a site-wide ceiling. Include a rule that pauses or slows flexible sessions first when capacity tightens.
  7. Set schedules with completion buffers. Work backward from each departure, allowing for tapering near high SoC, pre-departure checks and uncertainty in route energy. Do not schedule exactly to the last minute.
  8. Test exception paths. Simulate simultaneous arrivals, a late truck, an early departure, stale SoC, an unavailable charger, a building-load spike, a utility event and loss of network connectivity.
  9. Train drivers and dispatchers. Explain where to plug in, how to report a changed departure, when a manual start is allowed and how an emergency override is logged.
  10. Commission and tune. Verify measured power against the configured ceiling, confirm that commands reach each port, inspect completion predictions and adjust reserves only from observed fleet data.

Use OCPP, vehicle data and building signals together

The Department of Energy recommends connecting smart-charge management with fleet-management software, telematics or route plans, charger networks, building meters or energy-management systems and utility signals. Each integration closes a different information gap:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Fleet and telematics systems provide assignments, departure changes, location, SoC and route context.
  • Charger networks provide session state, delivered energy, connector status, faults and controllable power.
  • Building meters or energy-management systems show the load that remains after EV charging and allow the ceiling to respond to real conditions.
  • Utility signals identify time-of-use periods, demand-response events or other constraints.

Open Charge Point Protocol (OCPP) support is important when you need interoperable control rather than a charger that operates only through a proprietary application. The Department of Energy’s implementation guidance describes OCPP adaptive smart charging capabilities such as setting charge limits, prioritizing vehicles, setting time and power ceilings and creating schedules based on departure times.

ISO 15118 can provide vehicle charge profiles and bidirectional-energy information when both the truck and charger support the relevant functions. Do not assume that ISO 15118 features are available simply because a connector is compatible; verify the vehicle, charger and software versions together.

Offline and override behavior

Specify what happens when the network connection fails. A charger should retain a safe local limit and a last-known schedule, while the operating procedure gives dispatch a way to start a critical session manually. The override should record who used it, why it was needed and when normal control was restored. An override that bypasses the site ceiling is not a recovery procedure; it is an electrical-risk event.

Handle common operating scenarios

Several trucks arrive together overnight

Apply the site ceiling across all connected ports. Reserve enough capacity for trucks with early departures and large route-energy requirements, then fill later-departing trucks during lower-cost or lower-load periods. If all trucks cannot reach their targets within the available dwell time, the system should flag the shortfall immediately so dispatch can swap assignments, add a charger or alter departures rather than discovering the problem at shift start.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A truck arrives late

Replace its original arrival time and remaining dwell with the actual values, recompute the required charging rate and raise its priority if the shortened window threatens readiness. Do not simply place it at the front of a queue if that would make an earlier, already-at-risk departure fail.

A truck leaves early

When an early departure is reported, freeze the truck’s required energy, calculate whether the target is still achievable and allocate power accordingly. Pause flexible sessions first. If the target cannot be met, notify dispatch, state the predicted available energy and follow the approved route-substitution or reserve policy.

A charger becomes unavailable

Mark the port unavailable, remap compatible trucks to remaining ports and recalculate completion times. If a connector-specific failure removes the only compatible port for a truck, escalate immediately; do not leave the session appearing active in the scheduler.

The building load spikes

Let the dynamic ceiling fall before protection devices operate. Reduce flexible EV sessions, preserve trucks closest to their deadlines and alert facilities staff if the spike exceeds the configured model. Review the cause afterward so recurring loads can be incorporated into the baseline.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A utility demand-response event starts

Reduce or delay charging only to the extent that every required departure remains feasible. If participation could threaten readiness, apply the fleet’s opt-out or minimum-power rule. Program availability, compensation and penalties are local; confirm the utility’s terms before counting event revenue or savings in a business case.

Shift energy without risking readiness

Once urgent energy is protected, move flexible charging into off-peak periods, avoid coincident facility peaks and respond to utility events. Managed charging can lower off-peak energy cost, reduce coincident demand charges, defer infrastructure upgrades and improve vehicle uptime, according to the Department of Energy. The Joint Office also explains that managed chargers can delay or adjust charging and that vehicle-grid-integration programs may compensate fleet owners for providing grid services.

Those benefits depend on local conditions. Confirm the service territory, tariff, demand-charge structure, interconnection requirements and enrollment terms before relying on a projected saving or grid-service payment. A schedule that shifts energy into an inexpensive period but misses a departure is not a successful optimization.

Procure equipment that can be controlled

The central physical purchase is an OCPP-capable networked smart EV charging station sized for the truck’s connector, voltage, current and duty cycle. Ask the supplier to document the following capabilities for the exact model and software combination:

Monitor performance after launch

Commissioning is part of the charging system. Track whether the schedule works under real operating conditions and tune it from evidence.

Readiness metrics

  • Percentage of departures meeting the required energy and reserve target.
  • Minutes of warning before a predicted readiness miss.
  • Number and duration of manual overrides.
  • Energy delivered by truck, route and shift.

Electrical and financial metrics

  • Maximum aggregate EV demand and the highest combined site demand.
  • Frequency of ceiling reductions caused by building load.
  • Energy charged in each tariff period.
  • Demand-charge exposure and any utility-event performance.
  • Charger availability, fault duration and communications uptime.

Review exceptions rather than averaging them away. A high average readiness rate can conceal a small number of failures on the most important routes. Keep logs of changed departures, stale data, charger faults and overrides so recurring causes can be corrected in the operating model.

Safety, security and governance

Limit control access by role: drivers may report status or request an override, dispatch may change assignments, facilities staff may manage electrical limits and administrators may change integration settings. Protect network connections, rotate credentials, apply firmware updates through a controlled process and retain audit logs. Coordinate charger control with the site’s electrical safety program and emergency shutdown procedures.

Document who owns each data field and what happens when it is missing. A stale SoC should lower confidence and trigger a verification step, not silently enter the priority calculation as if it were current. Likewise, a missing departure time should place the truck in a defined exception queue rather than receiving unlimited charging.

An illustrative overnight schedule

The following example shows how the logic works; it is not a universal fleet-sizing recommendation.

Truck Arrival Required departure Energy still needed Operational status Initial treatment
A 18:00 04:30 High Critical early route Reserve power first and calculate the latest feasible start.
B 18:20 06:00 Medium Standard route Charge around A while preserving its completion buffer.
C 19:10 08:00 Low Flexible route Use remaining capacity and shift most energy to the lower-load period.

If the building load rises at 22:00, C’s session should slow first. If A arrives at 21:00 instead of 18:00, the scheduler should recalculate its feasible rate and alert dispatch if the target is no longer achievable. If B’s charger fails, move B to a compatible port and recompute all three completion predictions.

What a complete operating policy should answer

  • What energy and reserve must each route have before departure?
  • What is the normal and emergency EV power ceiling?
  • Which factors determine priority when power is scarce?
  • Who can change a departure, reserve or critical-route flag?
  • What does the system do when SoC, telematics, meter or charger data is stale?
  • How can a driver or dispatcher start a critical session if communications fail?
  • When may the fleet participate in a utility event?
  • How are readiness misses, overrides and charger faults reviewed?

There is no universally applicable truck-fleet sizing statistic. Duty cycles, charger power, tariffs and site limits are fleet-specific, so the schedule must be built from the fleet’s own route and electrical data rather than a generic trucks-per-charger ratio.
