Format a print-on-demand book and an ebook as two coordinated files, not one universal document. The print edition needs a fixed-layout, single-page PDF built to the chosen trim size, margins, gutter, and bleed rules. A normal ebook needs a reflowable EPUB (or a platform-generated equivalent) whose text adapts to screen size, font settings, and orientation. Start by choosing the print trim size and whether artwork bleeds, then build separate print and ebook outputs from consistently styled source text.
What you are actually preparing
A print-on-demand (POD) interior is a physical page design. Every page has a fixed width and height, a binding edge, an outside edge, and a predictable relationship between text, images, headers, and page numbers. The printer converts your interior PDF into paper, so geometry and preflight matter as much as the words.

A standard ebook is usually reflowable. The reader can change font family, font size, line spacing, margins, and sometimes orientation. A chapter that begins on page 42 in print may begin on an entirely different screen in an ebook, and a page-count reference from the print edition may no longer make sense. IngramSpark explains that reflowable EPUB lets readers customize font size and style and will not look exactly like the print book.

Use fixed-layout or print-replica ebook formats only when the visual arrangement is essential, such as a picture book, comic, heavily designed cookbook, or technical work with page-locked diagrams. Confirm that the destination platform supports that format before designing around it.

Make the three decisions that control the rest of the job
1. Choose the print trim size
Trim size is the final width and height of a trimmed page. Choose it before setting margins or laying out chapters. Amazon Kindle Direct Publishing (KDP) identifies 6 × 9 inches (152.4 × 228.6 mm) as the most common US book trim size. That is a useful default for many novels and general nonfiction, not a rule for every genre.
Compare several successful books in your genre and market. A literary novel, a large-type edition, a workbook, and a photography book may need different proportions. Changing trim size late can alter page count, gutter requirements, chapter breaks, running heads, image placement, and spine width.
2. Decide whether the interior needs bleed
Bleed is required when an image, background, rule, or other artwork continues to the trimmed edge. If every element stops inside the margins, a no-bleed interior is simpler. Do not add bleed merely because the cover uses it.

The extra area allows trimming variation without leaving a white sliver. Bleed applies to the pages that need edge-to-edge art; it does not mean every page must contain artwork.
3. Plan print and ebook production separately
KDP recommends beginning with a manuscript template when both editions are planned, but the two workflows still have different constraints. Keep one clean, styled source manuscript if that helps you revise efficiently, then make a print layout and an ebook conversion from it. Do not force the print PDF to serve as a normal reflowable ebook, or assume an EPUB will preserve print geometry.
Print-on-demand interior: build the fixed-layout PDF
Start with the platform template or exact page geometry
- Download the current template for the selected trim size and binding or set the document to the exact final trim dimensions.
- Set facing-page or mirror-margin behavior so inside and outside margins switch correctly on left- and right-hand pages.
- Choose the paper and ink options before finalizing page count; those choices can affect the allowed gutter and the physical thickness of the book.
- Place all body text, folios, running heads, and other non-bleed elements inside the safe area.
Templates are starting points, not permission to ignore the destination’s current file rules. Recheck the platform calculator and template immediately before export because specifications can change.

Set the gutter from the final page count
The gutter is the inside margin consumed by binding. A thicker book needs more room near the spine. KDP’s current minimum inside margins are:

These are KDP minimums. A designer may choose a larger gutter for readability, especially for a thick paperback. Recalculate after edits that change the page count. Check representative left and right pages at 100 percent magnification; a margin that looks generous on screen can feel cramped after binding.
Handle bleed correctly
- Extend each bleeding image or background beyond the trim boundary by the amount specified in the current template.
- Keep important faces, lettering, and other critical details inside the safe area; trimming is not perfectly exact.
- Do not extend ordinary body text to the bleed edge.
- Use bleed only on pages that require it and verify that the export preserves the added dimensions.
KDP supports bleed for fixed-format, print-ready files such as PDFs. If you submit a no-bleed page with an edge-to-edge design, the result may show an unintended white border or fail preflight.
Use styles and mirror-page conventions
Define paragraph and character styles for body text, chapter titles, subheads, quotations, captions, lists, and notes. Styles make global changes safe and give ebook converters meaningful structure. Avoid formatting a whole book with manual spaces, repeated tabs, or direct font changes.
Use mirror margins for facing pages. Keep running heads and folios away from the gutter and outside trim. Decide whether chapter-opening pages suppress a running head, and apply that rule consistently. Use section breaks or page-layout controls—not a string of empty paragraphs—to control where a chapter begins.
Prepare images, fonts, and PDF output
- Use images of at least 300 DPI at their final placed size. Enlarging a low-resolution image inside the layout does not create detail.
- Embed fonts fully where possible, including fonts used in captions, ornaments, and special characters.
- Embed placed images rather than leaving links to files that will not travel with the document.
- Keep text at least 7 points for KDP acceptance; larger type may be appropriate for the audience and the chosen trim size.
- Export one single-page PDF (1-up), not printer spreads, reader’s spreads, or 2-up pages.
- Remove crop marks, trim marks, comments, annotations, placeholder text, and file encryption.
- Check orientation, grayscale behavior, line thickness, language direction, and the platform’s supported color and transparency rules.
IngramSpark also recommends single-page files and at least 0.5-inch margins from the final trim. That is a different platform’s guidance, so use the requirements of the printer you actually selected rather than combining rules blindly.

Build the ebook as a reflowable publication
Use semantic structure instead of visual spacing
Apply real heading levels and paragraph styles. A chapter title should be a chapter-title style or heading, not a bold paragraph separated from the next line by a dozen blank returns. Do not use tabs to create indents or spaces to imitate columns. Reflow engines interpret structure, not the visual accidents of a print layout.
Use explicit page or section breaks before chapters and major front- or back-matter sections in the source document where the converter supports them. A reflowable ebook will not preserve print page numbers, but a deliberate chapter break still prevents a heading from being stranded at the bottom of a screen.
Include the expected front and back matter
A practical sequence is:
- Title page with the book title and author name.
- Copyright page, if desired.
- Dedication, epigraph, or other front matter.
- Linked table of contents.
- Body chapters.
- Author note, acknowledgments, bibliography, sample chapter, or other back matter as appropriate.
Keep the title and author metadata accurate in the ebook package as well as on the visible title page. A correct display title does not automatically repair incorrect metadata supplied during upload.
Create a linked table of contents
Generate navigation from heading structure or the formatter’s navigation tools. Test every entry, including nested parts and appendices, on an actual preview. A table of contents that looks aligned in the source document but contains no working links is not adequate for an ebook.
Choose and prepare images
Insert images in a way the target workflow supports; some platform guides recommend inserting visuals as images rather than relying on text boxes and floating shapes. Size images for reading on a small screen, preserve legible labels, and add alt text when the conversion workflow supports it. A print image that looks sharp at 6 × 9 inches may be oversized for an ebook download or unreadable when reduced to a phone screen.
Tables require special care. A wide print table may need to be simplified, split, or converted to an image for a reflowable edition. If readers must zoom or rotate a device to understand every row, redesign the content rather than assuming the print layout will survive conversion.

Preview on more than one device class
Use the platform’s previewer or Kindle Previewer and inspect a phone, tablet, and e-reader-sized view. Check chapter starts, headings, italics, special characters, hyperlinks, image scaling, table behavior, and the table of contents. Change font size in the preview: a layout that works only at the default setting is not truly reflowable.

Compare tools on output formats, trim-size and bleed controls, reflowable EPUB quality, image and table handling, preview and testing features, platform coverage, total cost, and how much manual cleanup you can perform. A free formatter is not automatically cheaper if fixing its output takes hours; a professional layout application is not automatically better if your book is ordinary text and you cannot manage its preflight settings.
A production sequence that minimizes rework
- Lock the edition plan. List the intended print platform, ebook platform, trim size, paper and ink choice, bleed requirement, language direction, and whether the ebook is reflowable or fixed-layout.
- Clean the manuscript. Remove duplicate spaces, manual tabs used for layout, stray blank paragraphs, comments, tracked changes, and inconsistent direct formatting.
- Apply styles. Assign styles for every recurring element and build a predictable heading hierarchy before generating navigation.
- Build the print interior. Set mirror margins, gutter, outside margins, trim dimensions, bleed, headers, folios, chapter openings, and image placement.
- Build the ebook output. Preserve semantic headings, insert deliberate chapter breaks, create navigation, adapt tables and images, and enter accurate metadata.
- Export and inspect. Produce a single-page print PDF and a reflowable EPUB or supported platform file. Open both at normal reading size rather than trusting the export dialog.
- Correct the source, not just the exported file. Fix a bad style, image, or break in the source document and regenerate both editions. Direct edits to a generated EPUB or PDF can be overwritten at the next export.
- Run platform previews. Check representative print pages and multiple ebook device classes, then upload only the final validated files.
Final print preflight checklist
- Trim size matches the selected edition and current platform template.
- Final page count, paper, ink, and binding choice produce the correct gutter.
- Left- and right-hand pages use the intended mirror margins.
- Bleed is present only where required, with critical content inside the safe area.
- Chapter openings, section breaks, widows, orphans, running heads, folios, and intentional blank pages have been inspected.
- Images are at least 300 DPI at placed size and remain sharp at 100 percent.
- Fonts are embedded, text remains at least 7 points for KDP acceptance, and line weights reproduce correctly.
- The PDF is single-page, not 2-up; it contains no crop marks, comments, annotations, placeholders, or encryption.
- Orientation, grayscale conversion, language direction, and transparency behave as expected.
Final ebook preflight checklist
- Title, author, language, and other metadata are correct.
- Title page, copyright page, dedication, table of contents, chapters, and back matter appear in the intended order.
- Every table-of-contents entry opens the correct location.
- Headings use a consistent hierarchy and chapter breaks are deliberate.
- Links work, special characters display correctly, and italics or emphasis survive conversion.
- Images scale without clipping, include alt text where supported, and remain understandable on a phone.
- Tables remain readable without depending on print-page width.
- Preview has been checked at phone, tablet, and e-reader sizes, including a larger reader-selected font.
- The final file opens without warnings in the destination’s previewer.
Troubleshooting common failures
Text or artwork is cut off near the spine
Recheck the page count and gutter against the current platform table. Confirm that mirror margins are enabled and that inside and outside margins were not accidentally swapped on facing pages.
A thin white line appears at an image edge
The page probably needs bleed, or the artwork does not extend far enough beyond the trim boundary. Extend the background according to the current template and keep important details farther inside the safe area.
The ebook has huge gaps or strange indents
Remove repeated blank paragraphs, tabs, and manual spaces used to imitate print layout. Replace them with paragraph styles, first-line indentation settings, and explicit breaks supported by the converter.
Chapter headings do not appear in navigation
Apply actual heading styles, rebuild the navigation or table of contents, and test each link in the preview. Visual bolding alone does not provide ebook structure.

A print table is unreadable on a phone
Reduce the number of columns, split the table into smaller units, rewrite it as a list, or provide a properly sized image with descriptive alternative text. Do not assume readers will rotate and zoom every page.
The PDF passes visually but is rejected on upload
Inspect the technical requirements: single-page order, page dimensions, bleed, embedded fonts, image resolution, minimum text size, encryption, annotations, comments, and file marks. Re-export from the source after removing the flagged element rather than patching a locked PDF.
When to hire a specialist
A formatter or book designer is most useful when the book has complex tables, charts, sidebars, right-to-left text, many photographs, equations, unusual typography, or a strict illustrated-page sequence. For a conventional text novel, a disciplined styles-based workflow and careful previews may be sufficient. Whoever produces the files should be able to deliver both a compliant single-page print PDF and a tested reflowable ebook when both editions are planned.

Keep the source manuscript, fonts, linked images, export settings, and a record of the edition specifications. A corrected print file may change page count and spine width; a corrected ebook may alter navigation or image behavior without changing print pagination. Treat each edition as a separate deliverable and rerun the relevant preflight whenever the manuscript or platform requirements change.
Frequently Asked Questions
Can I upload the same PDF as both my print book and my ebook?
Not for a normal reflowable ebook. Use the fixed-layout PDF for print and create a reflowable EPUB or supported platform ebook file so readers can change font size and view the book on different screens.
Do all pages in a print book need bleed?
No. Bleed is needed only on pages with artwork or backgrounds that reach the trimmed edge. Pages whose content stops inside the margins can remain no-bleed pages.
Should I use printer spreads for a POD upload?
No. Export a single-page, one-page-up PDF in reading order. The printer imposes the pages for production.
