The strongest rental-car return record is a before-and-after set: the pickup condition report plus clear, original evidence captured immediately before you surrender the vehicle. Photograph or video the body, glass, wheels, tires, lights and interior; record the odometer, fuel or charge level, keys, accessories and exact parking position; then keep the company’s return receipt with the files until the final invoice and deposit are settled.
That process matters most for an unattended or after-hours return. A key drop proves that you returned the keys, not necessarily that an employee inspected the car while you were there. Your own time-stamped record can show what the vehicle looked like when your rental ended, while the contract and branch procedures determine which evidence the company will accept.

What makes a rental-car condition record persuasive?
A useful record lets someone who was not at the lot answer five questions without guessing:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Which vehicle was documented?
- Where and when was it documented?
- What was the condition of each relevant area?
- What mileage and fuel or battery level did the rental end with?
- Were the keys, equipment and vehicle left where the contract required?
Damage photographs alone do not answer all five. A close-up of a scratch may show the mark but not its location, the vehicle identity or whether it was present at pickup. Conversely, an odometer photograph without exterior views does not establish body condition. Build a complete chain from the original pickup record to the final return receipt.

Use the rental agreement as the controlling document. Branches differ in their inspection process, acceptable upload method, parking rules, grace periods and fees. Some use a staff walk-around, some ask for an app upload, and some use automated photography at selected locations. Your evidence supplements those procedures; it does not replace a contractual requirement.
Start at pickup: create the baseline you will need at return
Read the condition report beside the actual car
Before driving away, compare every mark on the vehicle with the rental company’s condition report. Walk around the car in good light and check the areas that are easy to miss: lower bumpers, door edges, wheel rims, the windshield, roof edges and the side closest to another parked vehicle.
If a dent, paint transfer, chip, stain or torn trim is not listed, ask the employee to add it before you leave. Hertz’s published customer guidance warns that damage not recorded at pickup can later be attributed to the renter. Do not rely on an employee saying “it is already noted” unless the mark appears on the report or is added in the company’s system.

Photograph the baseline even when an employee inspects the car
Take a slow walk-around video or a set of still images before departing. Include at least one identifying view showing the license plate or vehicle identifier, and make sure the file records the actual rental vehicle rather than a similar car in the row. If the branch’s app accepts pickup images, upload them there and save the confirmation.
Keep the company’s signed or digital condition report. Your own images and the report serve different purposes: the report shows what the branch formally acknowledged, while the images preserve visual detail and context.
Ask about items that are not obvious from the bodywork
Confirm whether the rental includes a spare or inflation kit, charging cable, cargo cover, floor mats, child seat, navigation unit, toll tag or other accessories. Check that safety equipment and keys are present. Note any warning light, unusual operating issue or pre-existing interior damage in the branch record before leaving.

Prepare for the return inspection
Choose the right time and light
Inspect in daylight whenever possible. Low-angle sunlight can reveal shallow dents and paint scuffs that disappear under overhead lamps. If you must return in darkness, use the lot’s lighting and an optional rechargeable LED inspection flashlight, then take extra close-ups of marks that are difficult to see. Do not use a flash so harshly that glare hides a windshield chip or glossy paint defect.
Allow enough time to complete the inspection before the contractual return time. Rushing increases the chance that you will omit a wheel, the roof, the trunk or the fuel display. If a queue or closing time prevents a staff walk-around, follow the after-hours procedure rather than leaving the car in an unauthorized space.
Keep the capture process consistent
Use the same route and roughly the same framing you used at pickup: front, passenger side, rear, driver side, then the interior. Consistent angles make before-and-after comparison easier. Wipe dirt or water from a suspected mark only if doing so is safe and does not alter the condition; never polish, touch up or repair a mark before documenting it.
Exterior photo and video checklist
Begin with wide views that establish the whole vehicle, then make close-ups of every defect. A practical sequence is below.
| Area | What to capture | Why it matters |
|---|---|---|
| Vehicle identity | License plate or vehicle identifier, plus a wide shot of the car | Connects the files to the rented vehicle |
| Front | Full front, grille, hood, front bumper, headlights and fog lights | Shows location and condition of common impact areas |
| Passenger side | Full side, each door, rocker panel, mirror, wheel and tire | Provides continuous coverage of panels and lower edges |
| Rear | Full rear, tail lamps, hatch or trunk and rear bumper | Captures parking and loading damage zones |
| Driver side | Full side, each door, rocker panel, mirror, wheel and tire | Completes the four-side record |
| Glass | Windshield, side windows, rear window and any visible chips or cracks | Glass damage can be charged separately from body damage |
| Roof | Roof surface and roof-mounted equipment when visible | Documents an area often omitted from side views |
| Wheels and tires | Each rim face, tire sidewall and obvious tread or puncture issue | Distinguishes curb or tire damage from panel damage |
Use a wide shot and a close-up for every mark
For a scratch or dent, first photograph the entire side or panel so its position is unambiguous. Then move closer for detail. Place a ruler, coin or another non-damaging scale reference beside the mark when practical, but do not cover the defect. Take the close-up straight on and one at an angle so depth and paint transfer are visible.
Do not crop the only copy of an image. If you need to highlight a mark for an upload, retain the untouched original and submit a duplicate or the company’s original-file upload. Editing, filters and messaging apps that strip metadata can weaken the time and authenticity trail.

Document the interior and operating condition
Interior surfaces
Open every door and photograph the front and rear seats, carpets, floor mats, dashboard, center console, door panels, headliner and trunk or cargo area. Show stains, burns, tears, missing mats or broken trim with the same wide-plus-close-up method used outside.
Remove personal items before taking the final interior images. A forgotten bag can obscure a stain or make it appear that company equipment is missing. Check seat pockets, the glove compartment, cup holders and the cargo well.
Dashboard, warning lights and controls
With the vehicle safely parked, photograph the dashboard with the ignition on so the odometer and any warning indicators are legible. Do not operate the vehicle in an unsafe location just to obtain a picture. If a warning light appeared during the rental, record it and report it through the branch’s required channel rather than trying to clear it.
Where the agreement requires an operating check, note problems with lights, wipers, climate controls, charging equipment or other supplied systems. A written report to the branch creates a record that a mechanical issue was reported as an issue, not silently returned as damage.
Record mileage, fuel or charge, keys and accessories
Odometer
Take a readable odometer image with the vehicle identifier or dashboard context visible. The number should be sharp enough to distinguish each digit. If the display cycles between trip and total mileage, capture the total mileage required by the agreement and note which reading you recorded.
Fuel or battery level
Photograph the fuel gauge or state-of-charge display while the vehicle is in its final parked condition. Keep the fuel receipt if you refueled, and make sure the receipt shows the date, location and amount where available. Fuel, charging, late-return, cleaning and after-hours fees can be separate from damage charges, so a clean bodywork record does not settle those other account items.

Keys and supplied equipment

If the contract says to leave equipment inside the vehicle, show it in place. Do not leave a key in a cup holder or on a seat when the branch requires a secure key box.

Ask for a walk-around
At an open branch, request an employee inspection before you leave. Enterprise Denmark’s customer guidance recommends being present during the inspection and photographing any damage. Walk around with the employee and point out marks rather than assuming they will notice every panel.
Check the return document before signing
Read the return record for date, time, mileage, fuel or charge and newly recorded damage. Ask for corrections while you are still at the branch. If the employee records a mark you believe was present at pickup, show the pickup report and your baseline images and ask that your explanation be attached to the file.
Obtain a copy or digital confirmation of the completed return record. A verbal assurance that “the car is fine” is less useful than a document showing the inspection result and time.
After-hours drop-off: a precise sequence
Unattended returns create a gap between the moment you leave and the company’s later inspection. Reduce that gap with the following order.
- Read the after-hours terms first. Confirm the designated return lot, parking row or space, key-drop box, lock requirement and any instruction to upload photographs. Do not improvise a nearby space because the normal lot is full.
- Park exactly as directed. Avoid blocking traffic, fire lanes, charging access or another rental. Photograph the stall number, nearby signs and the vehicle’s position so the company can locate it.
- Complete the exterior and interior record. Capture all required views while the car is still in the assigned space. Include the roof if visible and every wheel, not just the side facing the camera.
- Photograph the final dashboard readings. Record odometer, fuel or charge level and any warning indicator. Include a readable vehicle identifier in the set.
- Remove belongings and secure the vehicle. Check the cabin, trunk and cargo area, close windows, turn off lights and lock every door according to the contract.
- Place keys and accessories as instructed. Photograph the key in the designated drop box or the equipment in its required location, without exposing a security code or personal information.
- Submit the files through the required channel. Use the rental company’s app, upload link or return form if specified. Save the confirmation screen or email.
- Leave only after the final proof is complete. Your final timestamp should be before you walk away, not after an employee has already moved the car.
Hertz’s after-hours terms specifically call for exterior and interior images, mileage, fuel and parking-location records. Those details explain why a single photo of a locked car is inadequate. The company may inspect later, and weather, another driver or a vehicle move can change what an employee sees.

Make the files usable as evidence
Preserve original metadata
Keep the original files on the phone or camera and copy them to a secure location without changing filenames, dates or image content. A backup made immediately after the return protects against a lost phone. If you use a cloud service, ensure the uploaded copies retain the original capture date and time.
Do not rely on a screenshot of a photo gallery. A gallery view may show a date but not the original image data. Keep both the full-resolution files and any compressed versions submitted through an app.
Organize by rental and sequence
Create a folder labeled with the rental agreement number or another private reference, then separate pickup and return files. A simple sequence such as “return-front-wide,” “return-front-bumper-close,” and “return-odometer” makes a later review faster. Do not publish license plates, booking numbers or home addresses when sharing an example online.
Save the proof trail
Retain the pickup condition report, return receipt, upload confirmation, fuel or charging receipt, branch messages and any damage notification together. SIXT’s customer-support guidance describes the return receipt as the primary proof when there is a discrepancy and says it records the date, time, mileage, fuel and newly recorded damage. That document should be stored with—not instead of—the original photographs.
Choosing a documentation method
| Method | Strength | Limitation | Best practice |
|---|---|---|---|
| Staff-supervised walk-around | Immediate discussion and a company record | May be rushed or unavailable near closing | Photograph the car anyway and obtain the completed return document |
| Still photographs | Easy to review and upload; preserves individual details | Can omit context if every shot is a close-up | Pair each close-up with a wide establishing view |
| Continuous video | Shows a sequential walk-around and reduces gaps between panels | Small defects may be hard to find in a moving clip | Move slowly, pause at marks and supplement with readable stills |
| Rental-company app upload | Creates a direct submission trail | May compress files or accept only specified formats | Save the upload confirmation and retain originals separately |
| Automated photography or scan | Can document the vehicle after you leave | Available only at selected branches and may not show your perspective | Follow the branch process and make your own final record |
| Unattended key drop | Useful outside opening hours | Inspection usually occurs later, after you have departed | Document the exact stall, locked vehicle, readings and key placement |
What to do if the company later alleges damage
Compare the allegation with the pickup baseline
Ask for the company’s damage description, photographs, inspection time and the return record. Match the alleged area to your pickup and return views. A wide image can establish that the mark is on a particular panel; a close-up can show its shape, paint transfer or location relative to a seam.
Respond with a dated, ordered file set
Send a concise explanation with the rental agreement reference, pickup report, return receipt, original return images and any upload confirmation. Identify the exact file that shows the relevant panel rather than sending an unstructured camera roll. Keep copies of everything you submit.
Separate damage from other charges
Check whether the invoice concerns bodywork, fuel, mileage, late return, cleaning, tolls or an after-hours fee. Evidence that the body was undamaged does not automatically contest a fuel or late-return charge. Address each line item under the contract’s dispute process.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteCommon documentation failures and their fixes
- Only taking the damaged area: Add a full-panel or full-side image to establish location.
- Skipping the pickup record: Photograph and obtain corrections before leaving the lot.
- Forgetting the underside of bumpers and wheels: Crouch for lower angles and photograph all four wheels.
- Ignoring the interior: Open every door and the trunk or cargo hatch; show seats, carpets and dashboard.
- Missing mileage or fuel: Photograph the dashboard and gauge in the final parked state.
- Leaving the car in an unapproved space: Follow the written parking instruction and capture the stall or sign.
- Editing the only originals: Preserve untouched files and submit copies if markup is necessary.
- Relying on a key-drop timestamp: A key drop records surrender of the key, not necessarily the inspection time; complete the visual record before leaving.
- Not saving the receipt: Keep the return document until the final invoice and deposit are resolved.
- Assuming every branch works the same way: Read the location-specific contract and use its app, upload link, key box and parking rules.
A compact final checklist
Before you walk away, verify that your file set contains:
- Pickup condition report with previously unlisted marks added.
- Return wide shots of all four sides and the roof when visible.
- Close-ups of every new or questionable scratch, dent, chip, stain or tear, with context.
- Windshield, windows, mirrors, lights, wheels and tires.
- Seats, carpets, dashboard, console, trunk or cargo area and supplied mats.
- Readable odometer and fuel or charge display.
- License plate or vehicle identifier.
- Keys, charging cables and other listed accessories.
- Parking stall, row, signage and final vehicle position.
- Upload confirmation, return receipt and any fuel or charging receipt.
- Original files backed up without editing.
Keep the complete set until the rental company has issued the final invoice and any deposit hold has been released. If a discrepancy appears, the combination of the pickup baseline, final images, contractual return record and receipts gives you a chronological record rather than a single unverified assertion.
