How to choose the right van for your business: load space, payload and running costs

Choose a business van by measuring your real loads and routes, calculating payload on the finished vehicle, and comparing total cost with current UK rules, tax rates and grants.

By CarCody Team

The right business van is the smallest body that safely carries your normal and peak loads, has enough legal payload after people and equipment are aboard, can reach every required site, and costs less over your actual mileage than the alternatives. Start with a written work profile, check the exact vehicle’s plated weights and dimensions, then compare total ownership cost using the same assumptions for every candidate. Brochure payloads, tax rates and electric-van grants are only starting points: options, conversions, route, charging access and tax year can change the answer.

Start with the work, not the badge

Write down what the van must do before looking at models. Record the usual load, the heaviest expected load, the longest and tallest items, the number of occupants, towing requirement, annual mileage, daily route, overnight parking and whether reliable charging is available. Include the places the van must enter: narrow streets, low car parks, farm tracks, loading bays and customers’ driveways. A van that carries everything but cannot reach the job is the wrong size.

Build a one-page work profile

  • Load: list tools, materials, cages, liquids and spare stock. Weigh representative loads rather than relying on a visual estimate.
  • Peak demand: note the heaviest and bulkiest job you actually expect, not an unlikely once-a-year scenario. If the peak is exceptional, compare the cost of hiring extra capacity for that job with buying a larger van all year.
  • People: count the driver and every passenger who may travel with equipment. Crew seats consume both payload and load length.
  • Route: record motorway mileage, urban stop-start work, gradients, idling, congestion and average daily distance.
  • Access: measure the lowest entrance, tightest turn and narrowest gate on regular routes. Add the height of roof equipment, beacons or a ladder rack.
  • Working method: note whether loading is from a kerb, dock, rear doors, side doors or a tail lift, and whether you need to stand inside to work.

Keep this profile beside every quotation. It prevents a low purchase price or an attractive headline payload from distracting you from the job the vehicle must perform.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Match load space to the items you carry

Load volume and payload are different constraints. A van can have enough cubic space for a load but still be illegal because the combined weight of the vehicle, occupants, fuel and cargo exceeds its limit. Conversely, a high-payload chassis may leave too little usable length or height for long materials.

Measure the usable envelope

Ask for the exact body’s internal length, maximum width, width between wheel arches, internal height, rear-door opening, side-door opening and loading-floor height. Check whether a bulkhead, shelving, wheel-arch boxes, refrigeration unit or lining reduces those dimensions. Measure your largest item diagonally as well as straight on; door openings, rather than the box itself, often become the limiting measurement.

Dimension or feature Why it matters How to verify
Internal length Determines whether ladders, pipes, panels or floor-length equipment fit with the bulkhead closed. Compare the manufacturer’s floor length at the loading height with your longest item and its packaging.
Internal width and wheel-arch width Controls pallet placement, side-by-side cases and shelving depth. Use the narrower wheel-arch figure, not the maximum wall-to-wall width.
Internal height Sets whether you can stand, stack safely or carry tall appliances upright. Allow for lining, roof ribs, lighting and any overhead storage.
Door aperture and sill height A bulky object may fit inside but not through the doors or over the sill. Measure the opening at its narrowest point and the lifting height from ground level.
Wheelbase and turning circle Longer bodies improve floor space but can make tight sites and parking harder. Check the exact wheelbase, turning data and your regular access points.
Roof and towing limits Roof racks and trailers add weight and alter stability and legal limits. Obtain the plated roof, nose-weight and trailer limits for the specific vehicle.

Manufacturer guidance commonly notes that a longer or higher van can carry more equipment, but extra size can reduce manoeuvrability and fuel efficiency. Choose the smallest body that clears your measurements with a practical margin; forcing a load through a barely adequate aperture wastes time and risks damage.

Calculate usable payload on the exact build

Ford defines payload as gross vehicle mass minus kerb mass. That is a useful starting formula, not the weight you can automatically put in the back. Crew, factory options, dealer accessories, shelving, refrigeration, tail lifts, batteries and other conversions increase kerb mass. The remaining payload must also cover the driver, passengers, fuel and loose equipment. Brochure figures can vary with body, drivetrain, trim, manufacturing tolerances and options.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use this payload check

  1. Find the plated gross vehicle mass (GVM): use the vehicle plate and official specification for the exact body and drivetrain.
  2. Obtain the vehicle-specific kerb mass: ask the dealer or converter for the completed vehicle, including every fitted option and conversion.
  3. Subtract people: use realistic weights for the driver and passengers who travel on a normal job.
  4. Subtract permanent equipment: include racking, drawers, tanks, compressors, generators, ladders, roof systems, tow bars and charging hardware.
  5. Subtract operating consumables: account for fuel, AdBlue where applicable, water and other fluids at the level you actually carry.
  6. Reserve a working margin: leave capacity for tools, packaging and an unplanned item rather than treating the legal limit as a target.

The resulting figure is your practical payload. Ask for it in writing on the quotation. If a dealer can provide only a brochure range, treat the lowest relevant figure as the planning number until the completed vehicle is weighed.

Check axle limits as well as the total

UK design weights include the van, driver and passengers, fuel and load. Each axle also has a limit. A dense load at the rear can exceed the rear-axle rating while the total vehicle weight appears acceptable. Distribute weight along the floor, keep heavy items low and close to the centre, and do not assume a suspension upgrade increases the legally plated limit.

The Driver and Vehicle Standards Agency says, “You must not overload your vans.” Its guidance records around 15,600 van stops each year and estimates that being stopped can cost owners and operators up to £4,000 per day per vehicle. In targeted checks during 2013–2014, 83.9% of light goods vehicles given a prohibition were recorded as overloaded; that historic chart is not a current prevalence estimate for all vans, but it shows why payload deserves a proper calculation.

Choose the body size and layout that fit your routes

Small vans

Small vans suit light tools, parcels and urban work where narrow roads, short parking bays and frequent stops dominate. They normally offer the easiest access and lowest mass, but limited payload and load length can force a trailer, roof rack or second trip. Check whether the rear aperture accepts your largest case before choosing one for convenience.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Medium vans

Medium vans are a compromise for trades that need shelving, several occupants or occasional bulky materials without the footprint of a large panel van. Compare short and long wheelbases carefully: the extra floor length may be valuable, while the turning and parking penalty may matter on city routes.

Large vans and high-roof bodies

Large or high-roof vans provide standing room and substantial volume for multiple crews, appliances or long days away from base. Their dimensions can restrict multi-storey car parks, loading bays and residential streets. More body and mass may also increase energy, tyre, insurance and maintenance costs. Select this class only when the work profile demonstrates a recurring need for its length, height or payload.

Crew vans, dropsides and conversions

Extra seats, dropside bodies, tippers, box bodies and specialist conversions change the weight and usable dimensions. A crew van may solve a people problem while removing hundreds of kilograms of cargo capacity; a tail lift or refrigeration unit can have the same effect. Compare the completed conversion, not the donor van’s headline specification.

Compare running costs on the same duty cycle

There is no universal cheapest van. Build one calculation for every candidate using the same annual mileage, ownership period, route mix and residual-value assumption. Include costs that are easy to overlook:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Cost line What to include Decision question
Acquisition or finance Purchase price, deposit, interest, fees, lease rentals, mileage allowance and end-of-term charges. What is the total cash paid over the period, not just the monthly figure?
Energy Fuel or electricity, real charging tariff, public-charging premiums, standing charges and route detours. Can the van refuel or charge without losing productive time?
Servicing and repairs Scheduled maintenance, consumables, tyres, inspections, breakdown cover and likely downtime. How will a day off the road affect revenue and customer commitments?
Insurance and tax Business-use insurance, vehicle excise duty where applicable and any tax treatment relevant to your business. Are quotes based on the same drivers, use and payload class?
Resale or disposal Expected residual value, condition requirements and conversion-removal costs. Will specialist equipment narrow the future buyer pool?
Operational extras Racking, security, roof systems, charging installation, parking permits and replacement vehicles. Which costs arise only because of this body or powertrain?

Use your own mileage and charging profile

Calculate annual energy cost as your measured or quoted consumption multiplied by annual miles and the price you actually pay. Separate motorway, urban and loaded work; a single laboratory or brochure figure does not represent every route. For an electric van, map overnight charging, depot capacity, public chargers on the route, winter conditions, payload effects and the time available between shifts. For a combustion van, include fuel-price sensitivity and the cost of idling or detours to refuel.

HM Revenue & Customs approved mileage rates for the 2026–2027 tax year are 55p per business mile for the first 10,000 miles and 25p thereafter. These are tax rates, not a promise that a particular van costs those amounts to run. Use them for the relevant expense claim or reimbursement calculation, while keeping your own total-cost model for the buying decision.

Decide whether electric fits the route

Powertrain choice follows duty cycle rather than fashion. An electric van can suit predictable daily mileage, depot charging and urban work where quiet operation and zero tailpipe emissions are valuable. A combustion van may be more practical when routes are long, payload is high, charging is uncertain or the vehicle must work multiple shifts without a charging window. Compare usable payload after the battery or conversion, not the unladen marketing figure.

For every powertrain, record energy use on the same route, time spent refuelling or charging, access to backup vehicles and the financial effect of downtime. Do not assume a lower energy price offsets a higher lease payment, charger installation or reduced payload; put each item in the same ownership calculation.

Check licences, tax, grants and operating rules

Confirm the driver’s licence category against the van’s plated weights, the intended business use and any trailer combination. The driving guidance discussed here applies to England, Scotland and Wales; local restrictions, clean-air rules, parking controls and Northern Ireland arrangements may differ. Verify the rules that apply where the vehicle will be based and operated.

Electric-van grant

On 13 October 2026, the official UK list stated that eligible small electric vans could receive up to £2,500 and eligible large vans up to £5,000. The amount is subject to the exact model and variant, and both eligibility and available funding can change. Confirm the live list, dealer application and whether the quoted price already includes the grant before treating it as a saving.

Plating and documentation

Keep the certificate or plate information for gross weight, axle limits and trailer limits with the vehicle records. A conversion can alter these figures or require an updated plate. Ask the converter how the finished vehicle was weighed and which limits remain unchanged.

Secure the load; restraints do not increase payload

Load restraint is separate from weight compliance. GOV.UK recommends appropriate restraints such as straps and netting and warns that unsecured cargo can move into the cab in a collision. Use a restraint system rated for the load, inspect anchor points, close the bulkhead where fitted and check the load again after the first part of a journey.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Put dense items low and spread them across the floor rather than stacking weight at one end.
  • Prevent roll, slide and bounce with rated straps, nets, chocks or partitions suited to the cargo.
  • Keep sight lines, door mechanisms and emergency exits clear.
  • Separate dirty, wet or hazardous materials from passengers and electrical equipment.
  • Recheck the load after loading changes, especially when collecting additional goods.

Straps and netting can stop movement; they cannot make an overloaded van legal. If the calculated payload is insufficient, reduce the load, change the body, use a trailer within its limits or arrange another vehicle.

A practical shortlist and comparison method

  1. Measure the work: complete the work profile, including peak weight, largest item, occupants, mileage and access restrictions.
  2. Set hard limits: reject any vehicle that fails internal dimensions, door aperture, payload, axle, licence or route requirements.
  3. Specify the finished vehicle: list body, wheelbase, roof, drivetrain, seats, racking, tow equipment and every conversion on the quotation.
  4. Request evidence: obtain vehicle-specific kerb mass, plated weights, axle limits, consumption assumptions, charging details and grant status.
  5. Price the same ownership period: compare acquisition, energy, maintenance, tyres, insurance, tax, downtime and resale with identical mileage assumptions.
  6. Test the access: drive or inspect the exact body at a representative loading bay, car park and narrow route. Check door swing, step height and visibility.
  7. Validate the payload: load a representative job or have the completed vehicle weighed before signing off the specification.
Comparison axis Record for each candidate
Space Usable length, width, wheel-arch width, height, apertures and loading height.
Payload Completed-vehicle payload after crew, options, conversion, fuel or charge and working margin.
Access Wheelbase, turning behaviour, body height, parking fit and door operation.
Energy Route-specific fuel or electricity use, refuelling or charging time and backup plan.

Common mistakes and how to correct them

Buying by volume alone

Symptom: the load fits physically but the van is overweight. Correction: weigh the complete job and calculate payload after people, equipment and fluids.

Using the brochure’s best payload

Symptom: a conversion leaves far less capacity than advertised. Correction: compare the exact trim, body, drivetrain and options and obtain the finished vehicle’s figure.

Choosing a long body for occasional peaks

Symptom: daily parking, tyres and energy cost rise for a capacity used rarely. Correction: compare a smaller van plus occasional hire or trailer with the larger van’s full ownership cost.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring axle loading

Symptom: heavy stock is concentrated behind the rear axle. Correction: distribute weight low and evenly and check each axle rating.

Assuming tax rates equal operating cost

Symptom: the 55p or 25p HMRC rate is used as a purchase comparison. Correction: treat the rate as a tax allowance and model your actual energy, maintenance, insurance and depreciation.

Counting a grant before confirming eligibility

Symptom: the budget depends on a discount that does not apply to the chosen variant. Correction: verify the live official list and written dealer offer at order date.

Final checks before you commit

  • The normal and peak loads, occupants and route are documented.
  • The exact body’s internal dimensions and apertures exceed your measured cargo needs.
  • Vehicle-specific payload remains after passengers, options, conversion, fuel or charge and equipment.
  • Gross and axle limits, licence category and trailer requirements are confirmed.
  • Loading, restraint, parking and charging or refuelling work at real operating sites.
  • Total cost uses the same mileage, period and assumptions for every shortlisted van.
  • Insurance, tax, local restrictions and any electric-van grant are confirmed for your circumstances and the current tax year.

When these checks agree, choose the smallest van that meets them with a sensible payload margin. That usually delivers the best balance of usable capacity, access and cost without relying on optimistic brochure numbers.
