How to Choose a Venue for an EV and Clean-Mobility Event

A practical framework for choosing an EV or clean-mobility event venue by assessing the whole journey, charging fit, accessibility, approvals and operations.

Choose an EV or clean-mobility event venue by checking the whole journey—not just the charger count. Compare how attendees, exhibitors and fleets will arrive; whether charging and accessible routes work in practice; whether the site can support the event’s power and vehicle needs; and whether any changes can be approved and delivered on time. There is no universal charger-to-attendee ratio: the right site depends on the event format, vehicle mix, schedule and local transport.

Start with the event’s mobility plan

Before touring sites, identify who and what needs to move: attendees, exhibitors, display vehicles, staff, service fleets and equipment. Map arrival and departure periods, vehicle dwell times, loading needs and any planned demonstrations. A conference with a small vehicle display has different site demands from a ride-and-drive event or a fleet showcase.

Include public transport, walking, cycling, accessible arrival, shuttles and micromobility in the plan alongside private vehicles. Abu Dhabi’s 2023 Sustainable Events Guide recommends considering transit-accessible venues, providing directions for public transport and considering electric shuttles. This is useful event-planning guidance, not a universal legal standard.

Compare candidate venues on the factors that determine fit

Use the same criteria for every site. Record evidence from the venue rather than relying on a listing that simply says “EV charging available.” The Joint Office of Energy and Transportation’s Public EV Charging Infrastructure Playbook includes site-identification and preliminary site-assessment material that can help structure this review.

Factor What to assess Why it matters
Arrival and departure Transit service on event dates, walking and cycling connections, accessible routes from arrival points, parking, shuttle access and traffic flow. A venue may have chargers but still be difficult to reach without a private car, or difficult to navigate once attendees arrive.
Charging in practice Operational status, location, access rules, connector types, charging rates, payment or activation method, usage patterns and expected event demand. Installed equipment is not necessarily available to your attendees, compatible with their vehicles or free when it is needed.
Accessible journey and equipment Route from arrival and parking to charging spaces; clear space to approach and use equipment; operable controls, connectors, communication features and payment methods. Accessibility depends on the usable route and charging experience, not just the presence of a marked space.
Power and site feasibility Electrical capacity and site conditions for any temporary or additional charging equipment, vehicle displays or demonstrations. Proposed infrastructure may require technical review, installation work and approvals that affect feasibility and timing.
Operations and logistics Loading, fleet and display-vehicle movement, queueing, charging turnover, staff responsibilities, shuttle staging and contingency arrangements. Vehicle movements and charging can conflict with attendee access or venue operations if they are not planned together.
Approvals, timing and cost Required permits, decision-makers, lead time, installation and operating costs, and a workable fallback if equipment or approvals are delayed. A technically promising site is not a practical choice if required work cannot be authorized or completed before the event.

Verify that the charging offer fits the event

Check access, compatibility and availability

Ask the venue for the number and locations of chargers, their operational status, connector types, charging rates, access restrictions and payment or activation steps. Find out whether charging is reserved, shared with the public or available only to certain users. Request usage or availability information where it exists, then consider likely peaks involving attendees, exhibitors, staff and event fleets.

Match those facts to the schedule. Vehicles that remain parked for several hours present a different demand pattern from vehicles that need quick turnaround between demonstrations. If the site’s existing network does not fit, discuss whether charging can be scheduled, reserved or supplemented. Abu Dhabi’s event guide identifies mobile EV charging as a possible measure for temporary events; whether it is feasible at a particular site still needs confirmation with the venue and provider.

Assess accessibility as a complete route

Trace the route from each relevant arrival point to the charging space, including parking, the event entrance and any accessible drop-off. Check that the route and space allow a person to approach and use the charger, and that controls, connectors, communications and payment features can be used. Ask who can provide assistance if a charger is inaccessible or fails.

For U.S. sites, the U.S. Access Board’s technical assistance on accessible EV charging stations explains that entities subject to the ADA or ABA must provide charging stations accessible to and usable by people with disabilities. It discusses accessible routes, spaces, operable parts, connectors, communications and payment; it also distinguishes applicable requirements from additional recommendations that are not legally binding. Confirm which requirements apply to the specific site and project.

Establish whether new or temporary infrastructure is deliverable

If a venue proposes installing, modifying or bringing in chargers, identify who owns, installs, operates and maintains the equipment. Confirm available electrical capacity, the installation location, safety arrangements and the timeline for decisions and work. Do not treat verbal assurance that installation is possible as proof that approvals or delivery are settled.

Permits depend on jurisdiction and project scope. For U.S. projects, the Joint Office’s February 13, 2024 webinar on permitting and site selection identifies zoning, electrical, building and fire approvals as possible requirements and recommends timely applications and customized permit checklists. Ask early for relevant site-safety, building and electrical documentation. The Joint Office notes that these plans can help speed permitting; the applicable authority determines actual requirements.

Coordinate transport and event operations

For a major event, discuss expected arrivals, departures, shuttle operations and service impacts with the venue and relevant transport operators early enough to plan. The Federal Transit Administration’s Major Event Playbook, last updated December 4, 2025, is a resource for public transportation agencies navigating federal transit requirements related to major events. It supports agency coordination; it does not replace local event operations planning.

Agree on how transit directions will reach attendees, where shuttles will load and unload, how accessible service will be provided, and how vehicle displays and loading will be separated from pedestrian flows. Confirm operational responsibilities rather than assuming the venue or transit agency will manage them automatically.

Use a venue due-diligence checklist

Send the same questions to each venue and record the answers, supporting documents, responsible contact and unresolved items.

  • What public transport serves the site on the event dates, and what accessible walking route connects stops to the event entrance?
  • How many chargers are operational, where are they, who may use them, what connectors and charging rates do they support, and how are they activated or paid for?
  • Can the venue share charger usage or availability information and identify likely conflicts among attendees, exhibitors, staff and fleets?
  • Are charging spaces, access aisles, routes, interfaces, help channels and payment methods usable by attendees with disabilities?
  • If temporary or additional equipment is proposed, who owns, installs and operates it, what electrical capacity is available, and what approvals and lead time are required?
  • How will transit, shuttles, micromobility, vehicle displays, loading and fleet movements work at arrival and departure peaks?
  • What are the costs of the proposed arrangements, and what practical contingency is available if a charger, shuttle or infrastructure installation is unavailable?

Make the decision without inventing a universal score

There is no evidence-based minimum charger count or single scoring formula that fits every EV event. Compare venues against the event’s actual transport and charging plan, and distinguish confirmed capabilities from proposals that still need approval. A site with fewer chargers may fit an event whose vehicles can charge elsewhere or remain parked, while a larger charging network may still be unsuitable if access, compatibility, operations or timing do not work.

Before booking, resolve any critical uncertainty about accessible arrival, charger availability, electrical feasibility, approvals or operating responsibilities. If a requirement cannot be confirmed, ask for a documented alternative and decide whether that fallback still meets the event’s needs.
